Overview:
The Travel Concierge will be responsible for planning, organizing, and managing all domestic and international travel arrangements for the Managing Director (MD). This role involves ensuring seamless travel experiences by coordinating logistics, handling special requests, and managing expenses, while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities:
- Travel Planning & Coordination
- Plan and organize detailed travel itineraries (domestic & international).
- Book flights, hotels, transportation, and other required services.
- Arrange visas, travel insurance, and necessary documentation.
- Personalized Concierge Services
- Cater to the MD’s personal preferences (meals, seating, hotel amenities, etc.).
- Manage special requests such as VIP lounge access, early check-in/late check-out, and private transfers.
- Provide destination-specific recommendations for restaurants, meetings, and leisure activities.
- Logistics & Scheduling
- Align travel schedules with the MD’s office calendar.
- Ensure smooth transitions between meetings, events, and travel commitments.
- Prepare and share detailed travel packs/briefings before each trip.
- Expense Management
- Manage travel budgets and approvals.
- Track expenses and maintain accurate records of travel expenditures.
- Crisis & Change Management
- Handle last-minute changes or cancellations efficiently.
- Ensure alternative arrangements during emergencies.
- Liaison & Coordination
- Act as the primary contact between travel agencies, airlines, embassies, and the MD’s office.
- Coordinate with personal assistants, HR, and admin teams for seamless scheduling.
Skills & Qualifications:
- Bachelor’s degree in Hospitality, Travel & Tourism, Business Administration, or a related field.
- 3–5 years of proven experience as a Travel Concierge, Executive Travel Coordinator, or similar role.
- Strong knowledge of international travel procedures, visa requirements, and regulations.
- Excellent organizational, multitasking, and problem-solving skills.
- Proficiency in MS Office, travel booking tools, and digital itinerary apps.
- High level of discretion, professionalism, and confidentiality.
